Lead Capture is the only way to collect participant contact information directly from Prizmah, Prizmah does not provide sponsors or exhibitors with conference participant lists.

Where will my table or booth be located?

Exhibitors are at the heart of the Prizmah Conference, positioned strategically within central meeting places for participants to network and grab a snack or cup of coffee. More than just a transactional marketplace, exhibitor spaces at the Prizmah Conference are designed for connection and will give you the opportunity to deepen relationships and forge meaningful new partnerships.

How will I find out information about exhibitor logistics?

Prizmah is committed to meeting your needs as you plan your exhibit space. Several months before the conference, exhibitors will receive a link to a detailed Exhibitor Portal with information about load-in / load-out, shipping and receiving, and other policies, as well as ordering information for audio-visual equipment, dedicated power, and other services you might need.

What is the shipping address? Does the hotel charge handling fees?

Detailed shipping instructions and a chart of package handling and storage fees will be made available to registered exhibitors on the Exhibitor Portal. You can expect handling fees of $20-70 per package, both for packages shipped to the hotel, and for packages shipped from the hotel.

Arrangements for the receiving of packages and delivery to your table or booth must be made in advance with FedEx Office at the hotel. In order to expedite receiving your packages on Sunday morning, we strongly recommend that you speak with FedEx Office to set up an account and pre-pay your handling fees, and that you provide FedEx Office with a detailed list of packages shipped to the hotel, including tracking numbers. Package delivery requests made at FedEx Office on the day of exhibit load-in will be entered into a queue and scheduled after all prepaid package deliveries - the average wait time for package deliveries requested day-of is 4 hours. Detailed instructions will be provided on the Exhibitor Portal.

Will there be a power outlet at my table or booth? Who do I contact to rent AV equipment or if I need hard-wired internet?

Encore Event Technologies is the exclusive provider of Audio-Visual services, power, and internet for the Prizmah Conference. Exhibitors can arrange and pay for Encore’s services on a form that is linked on the Exhibitor Portal.

There may be limited power outlets located around the exhibit space, however we cannot guarantee that there will be an outlet near your table or that you will have access to power during the entire event. If you need power, we strongly recommend that you arrange and pay for a power drop from Encore, which can be done via the Exhibitor Portal.

Does Prizmah share a list of conference participants with exhibitors?

In an effort to protect the privacy of Prizmah Conference participants and be transparent in our relationship with exhibitors and sponsors, Prizmah does not provide sponsors or exhibitors with conference participant lists.

To help you easily collect contact information from participants who visit your table or booth, you may purchase access to our Lead Capture app. With just a quick scan of a participant’s name badge, Lead Capture will allow you to access participant contact information directly from Prizmah’s registration system, and to qualify, rate, and take notes on each lead. Lead Capture costs $750 for access to the LeadCapture app on two (2) of your devices, and $300 per device for access to the LeadCapture app on additional devices. Lead Capture access can be purchased as part of your exhibitor registration process.

Can I bring additional team members to staff my table or booth?

Each exhibitor is permitted a certain number of complementary conference registrations, see the benefits chart above for details. If you would like to bring additional team members beyond the complementary registrations included with your table or booth, we offer a discounted registration fee of $850 for exhibit staff. Full-price conference registration is $950. You will be able to add additional exhibit staff when you fill out the conference registration form in the fall.

What are the hours of the exhibit space?

We are still building the conference schedule, but you can use these general estimations to make your plans:

  • Sunday, February 2:
    • Exhibitor Load-In: Morning
    • Exhibit Space Open: Lunch through Dinner

    • Exhibit Space Open: Breakfast through Dinner

Will there be an overnight guard?

The exhibit space is located in the public areas of the conference hotel, and Prizmah will not be providing overnight guard services. Any belongings, materials, electronic devices, and valuables are the responsibility of the exhibitor and should not be left unattended.

What additional fees should I plan for?

Exhibitor service vendors will charge fees for their services. Encore Event Technologies and FedEx Office are exclusive vendors to the conference hotel, and Prizmah has no control over their policies or pricing.

What is the cancellation policy for exhibitors?

If you need to cancel your exhibitor space or sponsorship on or before September 30, 2024, Prizmah will refund 100% of fees paid for your exhibitor space / sponsorship and any additional services you have purchased, minus a $250 cancellation processing fee.

If you need to cancel your exhibitor space or sponsorship between October 1, 2024 and November 30, 2024, Prizmah will refund 50% of fees paid for your exhibitor space / sponsorship and any additional services you have purchased.

If you need to cancel your exhibitor space or sponsorship on or after December 1, 2024, no refund will be given.

Where will the conference take place? Is there a special rate for hotel rooms?

The Prizmah Conference 2025 will be in Boston, Massachusetts. The name and address of the conference venue will be shared by email with registered participants.

Prizmah has negotiated special rates for Prizmah Conference participants staying in the conference hotel. Traditional hotel rooms in one tower of the hotel are available for $279 per night, plus tax. More cozy, “studio-style” hotel rooms in another tower of the hotel are available for $239 per night, plus tax. You will be able to book your hotel room after you register for the Prizmah Conference. Conference registration will open in the fall, after Sukkot.
